2. What data we collect and why

We collect personal data in the following circumstances:

Candidates

When you register with us or apply for a role, we collect your name, contact details, employment history, right-to-work documents, qualifications, references and any other information you provide. We use this to match you with suitable vacancies, comply with our legal obligations (including right-to-work checks), and manage our relationship with you.

Lawful basis: Performance of a contract (or steps taken at your request prior to entering a contract); legal obligation; legitimate interests.

Employers and enquirers

When you submit an enquiry via our website or contact us directly, we collect your name, job title, company name, email address, telephone number and details of your staffing requirements. We use this to respond to your enquiry and, where relevant, to provide our recruitment services.

Lawful basis: Legitimate interests; performance of a contract.

Website visitors

We may collect technical data such as IP address, browser type, pages visited and time on site via analytics tools. See section 6 (Cookies) for details.

Lawful basis: Consent (for analytics cookies); legitimate interests (for essential site operation).

3. How we share your data

We do not sell your personal data. We may share it with:

  • Client employers, where you have consented or where it is necessary to fulfil a placement.
  • Third-party service providers who process data on our behalf (e.g. our applicant tracking system, payroll processor, IT support), under data processing agreements.
  • Regulatory bodies or law enforcement where we are legally required to do so.

We do not transfer your data outside the UK or EEA without appropriate safeguards in place.

4. How long we keep your data

  • Candidate records: We retain active candidate records for the duration of our relationship with you and for up to 2 years after our last contact, unless you ask us to delete your data sooner.
  • Placed workers: Payroll and right-to-work records are retained for 6 years after the end of the engagement to comply with HMRC and employment law requirements.
  • Employer enquiries: Contact and enquiry records are retained for up to 3 years.
  • Website analytics: Aggregated analytics data is retained in accordance with our analytics provider's data retention settings (typically 14 months).

5. Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Erase your data (“right to be forgotten”), subject to our legal obligations.
  • Restrict processing in certain circumstances.
  • Object to processing based on legitimate interests.
  • Data portability where processing is based on consent or contract and carried out by automated means.
  • Withdraw consent at any time where processing is based on consent.
